Our Transition to ClientTrack
In 2024, Minnesota's HMIS platform will transition from Community Services to ClientTrack (as previously announced). ICA staff and the HMIS Governing Board will guide users along the way.
In each ICA newsletter in 2024, we'll let you know:
status of the HMIS software transition,
Something to look forward to in the new system, and
what you need to know and what you can do to prepare.
Transition Status:
ICA and Eccovia are finalizing timeline and contractual terms. Once these are established, some ICA staff will shift from their usual responsibilities to begin working closely with a dedicated project team from Eccovia.
Soon ICA will give a "last call" to requesting some types of changes in HMIS. Data entry, reporting, setting up providers and training users will continue as normal for now, but we will soon pause assessment changes, report builds, and report enhancements until we are live in ClientTrack. This pause helps us identify exactly what we are rebuilding in ClientTrack.
Something to look forward to in the new system:
ClientTrack makes it easy to login from a mobile device or tablet. Collecting a client's Release of Information can be done electronically as an e-signature or a check box for verbal consent.
What can you be doing to prepare?
2024 is a good year to begin or revisit conversations at your agency about HMIS. Who is your agency's HMIS champion? How do you decide which staff use HMIS? Does everyone with an HMIS license use it and use it the same way (e.g. are all case managers responsible for their own data entry or does one person enter data on their behalf?)? Are there adjustments to make?
Once we release a timeline, your agency will want to pay close attention to dates we will stop user training in our current system and when training for ClientTrack begins.
